Ordering corporate gifts in bulk — whether it's 100 Diwali hampers or 10,000 event kits — is fundamentally different from buying individual gifts. The stakes are higher, the logistics are more complex and the opportunities for things to go wrong are magnified at scale. This guide walks you through every step of a successful bulk corporate gifting order in India.
Step 1: Plan Your Bulk Order
Before contacting any vendor, answer these five questions:
- Exact quantity: Count your recipient list precisely. Add a 5–8% buffer for last-minute additions and damaged units.
- Budget per unit: Decide your all-in budget — product + packaging + branding + delivery. Do not leave any component as 'TBD'.
- Delivery address(es): Single address vs 500 different addresses is a completely different logistics challenge and cost.
- Required delivery date: Work backwards. If you need delivery by October 20, order by October 1 for standard quantities, September 15 for 1,000+ units.
- Branding requirements: Logo only, or full custom packaging? Custom packaging requires 2–3 extra days.
Step 2: Choosing the Right Vendor
Not all corporate gifting companies can handle bulk orders reliably. Evaluate vendors on:
- Production capacity: Can they handle your quantity without cutting quality?
- Reference clients: Ask for 2–3 references of similar-scale orders
- Sample quality: Always request a physical sample — photos are misleading
- GST invoice: Non-negotiable for corporate procurement
- Communication SLA: How quickly do they respond? Slow vendors are a red flag for operations
Giftiano handles bulk orders from 25 units to 50,000+ units with dedicated production teams, physical samples on request and GST invoices on every order. See bulk pricing →
Step 3: Always Sample Before You Scale
This is the most commonly skipped step and the source of most bulk gifting disasters.
- Request a physical sample of the exact hamper you're ordering — including packaging, branding and all contents
- Check: product quality, packaging sturdiness, print quality, colour accuracy and overall feel
- If ordering 500+ units, compare the sample to the production batch — QC on arrival before distributing
Step 4: Managing Bulk Delivery Logistics
| Delivery Type | Complexity | Lead Time | Best For |
| Single address | Low | 48 hours | Office Diwali delivery |
| 2–10 addresses | Low | 48–72 hours | Multi-office companies |
| 10–100 addresses | Medium | 3–5 days | Remote team gifting |
| 100–1,000 addresses | High | 5–7 days | Client campaigns |
| 1,000+ addresses | Very High | 7–14 days | National campaigns |
Step 5: GST and Documentation
- All Giftiano orders include a proper GST invoice (GSTIN: verify with your vendor)
- Corporate gifting to employees above ₹5,000 aggregate per year is taxable — consult your CA
- Keep all gifting documentation for 3 years for audit purposes
- For CSR gifting, request a certificate of eco-credentials from your vendor for reporting
5 Most Common Bulk Gifting Mistakes
- Ordering at the last minute: The #1 mistake. Everything costs more, quality suffers and delivery fails.
- Choosing on price alone: The cheapest bulk vendor is rarely the best. Quality difference between ₹699 and ₹999/unit is visible and noticed by recipients.
- Not getting a sample: Never approve 1,000 units without reviewing a physical sample.
- Single point of failure: Always have one backup vendor shortlisted in case your primary can't deliver.
- No personalisation: A 5,000-unit Diwali campaign with zero personalisation is a missed relationship opportunity. At minimum, a personalised card at scale costs almost nothing.
